Reservation and Cancellation Policies
Please read the following policies carefully, they provide important information regarding your reservation and the mutual expectations we agree to.
The following policies apply to standard trip offerings listed on our website. Custom outings may have different policies that will be established and agreed to prior to confirmed reservation.
DEPOSITS AND CANCELLATIONS
All reservations require a deposit to be secured.
DAY TRIPS
Full payment is due at the time of booking.
Cancellations made 30 days or more prior to trip departure will receive a full refund less a $25 administrative fee. Cancellations made 29 days to within 72 hours will be subject to a 50% of trip cost cancellation fee. Trips cancelled within 72 hours will not be refunded.
OVERNIGHT TRIPS
50% of the total trip cost is due at the time of booking. Full payment are due 30 days prior to trip departure.
If you must cancel your trip more than 30 days or more prior to trip departure a full refund less a $75 per person administrative fee applies.
Cancellations made 29 days to 14 days prior to a trip departure will receive a 50% trip cost refund.
Cancellations made within 13 days prior to a trip departure will not be refunded.
If a trip participant leaves a trip at any time for any reason after a trip begins, no refund will be granted.
Note: 50% of all funds forfeited due to a participant trip cancellation will be credited to a future trip departing within one year of the original confirmed reservation.
IF WE CANCEL A TRIP
Explore California Outdoors reserves the right to cancel a trip at any time for any reason. Reasons may include, but are not limited to weather conditions, environmental conditions, road or land closures and more. This is a very uncommon occurrence and we avoid this whenever possible.
If we cancel your trip prior to the trip departure a full refund will be granted. Explore California Outdoors will not be responsible for your expenses accrued because of our cancellation.
If Explore California Outdoors cancels a trip for any reason after the trip begins, a refund equal to the fraction of time of the cancelled portion of trip will be refunded. Reasons may include, but are not limited to, natural hazard events such as fire, weather, serious injury, or ANY other unforeseen circumstance.
REQUIRED FORMS
All participants will be required to submit an Acknowledgement of Risk Form shortly after the time of booking. This is a standard form in the industry that is required by land managers and insurance agencies.
All participants will also be required to submit our Pre-Trip Questionnaire. We use this information including medical history, food allergies and preferences, to help us be prepared for your trip.
These forms will be provided at the time of reservation confirmation. If you would like to review these forms prior to booking just let us know, we'd be happy to provide them. Participants under the age of 18 will require a parent or legal guardian to submit these forms.
TRAVEL INSURANCE
Participants are strongly advised to purchase travel insurance to cover themselves in the event they are unable to participate and are impacted by our cancellation policy or need to leave one of our trips prior to or during its completion. We recommend considering a policy that covers the widest range of scenarios including illness and emergency evacuation.
STANDARDS OF CONDUCT
All our trips are conducted in the spirit of mutual respect and consideration for all our participants and the lands and water we travel on. ALL our guests will be expected to do the same. Explore California Outdoors reserves the right to ask any of our trip participants to leave one of our trips, without refund, if we feel as though this mutual respect is not being honored reciprocally.
